Essence Executive Transfers is focused on providing a premium pre-booked transfer service to the
discerning traveller looking for quality, safety and reliability. Our vision is to become a preferred
service provider in quality Ground Transportation services.
What will be expected from you but not limited to:
Office Administration
-General office management and administration
-Provide support to the MD
-Manage and control telephonic calls, appointments and electronic diaries
-Manage, oversee and co-ordinate travel and logistical arrangements for MD
-Plan, organise and coordinate staff meetings, and record minutes
Conduct travel partner onboarding
-Creating efficiencies within the business - cost savings, comparing service provider
-costing.
-Stationery orders
-Monthly grocery purchases & ordering of lunch/snacks for meetings
-Bookings & Training Coordination
Driver Administration
-Driver onboarding
-Maintain and update driver employment records, leave information, and other related
-documentation
-Managing Team WhatsApp Group
-Maintain driver scheduling rosters
-Driver dispatching for customer transfers
-Actively work at removing any hurdles and improving information flow in the best interest of the customers, drivers and travel partners.
Fleet Management
-Monitor and ensure fleet operation in compliance with South African legislation and government regulations
-Maintain electronic databases of registration, inspections and maintenance of fleet management
-Perform administrative tasks related to vehicle registration and insurance regarding induction of new vehicles in the existing fleet.
-Maintaining detailed vehicle servicing and inspection records and scheduling regular vehicle maintenance to ensure operational efficiency, among other duties.
-Ensure fleet scheduling to meet all customer requests/orders
Surveying customer user trends
-Maintain knowledge and utilize all fleet information and user surveys to forecast new requirements
-Conduct monthly Fleet evaluations on a kilometers basis
-Oversee parking allocations on site
-Oversee the Fleet disposal process
-Registration of accident claims & submission of claim documents
-SAPS reporting
-Arrange and assist with repair quotes

Qualifications and Experience:
-National Diploma or Relevant industry experience- Travel & Tourism; Logistics
-3 – 5 years of Executive PA experience or Office Management Experience
-3 - 5 years of experience in the Fleet Management industry would be an advantage
-Excellent communication & problem-solving skills
-Experience in coordinating the work of others
-PC Literate with excellent typing skills,Microsoft Office – Word, Excel, PowerPoint, and Outlook are key
-Training will be provided for all other software
-Attention to detail and accuracy in all things
-Ability to prioritise conflicting needs and have a strong sense of urgency when performing tasks
-Ability to handle pressure and deliver on deadlines
-Valid South African Driver’s License
